Lettings Assistant

Oxford High School GDST

Contract Term: Permanent

Competitive Salary plus benefits: £27,171 FTE

Working Pattern: Sundays (12-hour shift), all year round. 

Oxford High School is seeking a reliable, customer-focused and proactive Lettings Assistant to support the successful operation of the school's thriving lettings programme. Working as part of the Estates Team, you will help ensure that our facilities are safe, secure and welcoming for community users outside of normal school hours while maintaining the high standards expected across the school estate.

Key Responsibilities

Site & Security

  • Open, secure and lock school buildings and facilities for weekend lettings.
  • Carry out regular site patrols and ensure all areas are safe, secure and ready for use.
  • Monitor access to the site and report any security concerns or maintenance issues promptly.
  • Ensure alarms, locks and access systems are operated correctly.

Lettings Operations

  • Welcome hirers and visitors, providing a professional and friendly customer experience.
  • Prepare rooms, sports facilities and equipment for bookings and restore them to school use afterwards.
  • Support the smooth running of lettings, acting as the main point of contact during events where required.
  • Update the SchoolHire bookings system with relevant information and respond to enquiries received during shifts.

Premises Maintenance

  • Carry out minor repairs and routine maintenance within your level of competence.
  • Inspect facilities and equipment regularly, reporting defects or health and safety concerns.
  • Undertake cleaning, porterage and janitorial duties to ensure facilities remain clean, safe and presentable.
  • Assist with setting up and dismantling equipment for school and community events.

Health & Safety

  • Carry out inductions for new hirers, including emergency procedures and site-specific safety information.
  • Ensure all hired areas are returned to a safe, clean and sanitary condition.
  • Monitor hirers' compliance with school procedures, safeguarding requirements and risk assessments.
  • Respond appropriately to emergencies including fire, flood, accidents or security incidents, following school procedures.
  • Provide emergency first aid where qualified or following appropriate training.
  • Understand the Fire Alarm system and act on a fire alarm activation at all schools, phone the fire brigade and facilities manager and support them when in attendance. 

General Duties

  • Promote high standards of presentation across the school site.
  • Work collaboratively with colleagues, contractors and hirers to deliver an excellent service.
  • Support sustainability initiatives, waste management and responsible use of school resources.

About You

The successful candidate will:

Have excellent customer service and communication skills.

  • Be reliable, trustworthy and able to work independently.
  • Be practical and confident carrying out minor maintenance and manual tasks.
  • Have good IT skills and be comfortable using online booking and administrative systems.
  • Be physically fit and able to undertake porterage and manual handling tasks.
  • Hold a current First Aid at Work qualification or be willing to undertake training.
  • Previous experience in premises management, facilities, security or customer-facing roles would be advantageous but is not essential.
